Supplement Manufacturing FAQ
Forty questions brand owners actually ask before placing a first order, answered with the numbers we quote.
Working with a China-based Manufacturer
How do I communicate with EUPHM during a project?+
You are assigned a single English-speaking account manager who coordinates formulation, sampling, production, and shipping. Communication is by email, WeChat, or scheduled video calls. For urgent issues, response is typically within one business day. All specifications, approvals, and change requests are documented in writing to avoid misunderstandings.
What are the typical lead times from order to delivery?+
Samples ship in 7–10 working days after formula and packaging approval. Mass production takes 20–35 working days after deposit and artwork approval. Sea freight to the US or EU adds about 30–40 days port-to-port, while air freight takes 5–10 days. Total lead time from PO to warehouse is typically 8–12 weeks.
Which ports do you ship from, and can you handle door-to-door delivery?+
We ship from Shenzhen and Hong Kong ports. We can arrange door-to-door delivery via our freight forwarders for sea or air shipments. We provide commercial invoices, packing lists, and certificates of origin. For door-to-door, we need your full address and customs requirements to quote accurately.
What payment methods do you accept?+
We accept bank transfers (T/T) in USD, EUR, or RMB. For first orders, terms are typically 50% deposit and 50% before shipment. For repeat orders, we can discuss 30% deposit and 70% against copy of bill of lading. We do not accept credit cards for production orders due to fees.
Can you provide references or case studies?+
We do not disclose client names due to confidentiality agreements. However, we can share anonymized case studies describing product types and markets served. We can also arrange a video tour of our facility and introduce you to our quality team to answer technical questions.
What is your minimum order quantity (MOQ) for retail-ready products?+
MOQ is 1,000 units per SKU for most formats; selected formats start at 5,000. Pilot volumes below that can be discussed case by case, usually with a per-unit surcharge. MOQ depends on dosage form and packaging; effervescent tablets, for example, may require a higher minimum because of the tube format and tooling.
How do you handle intellectual property and confidentiality?+
We sign a mutual non-disclosure agreement (NDA) before discussing formulas. Your formula and specifications are treated as confidential and are not shared with other clients. We do not produce the same custom formula for other brands. All employees involved sign confidentiality agreements.
MOQ, Pricing and Payment
How is the price per unit calculated?+
Price per unit is based on formula cost (ingredients), packaging cost (bottle, label, carton), and production cost. We provide a detailed quotation breaking down these components. Costs decrease with higher volumes. For a firm quote, we need your formula, dosage form, packaging specs, and target quantity.
What are the payment terms for first-time orders?+
For first orders, we require 50% deposit upon order confirmation and 50% balance before shipment. Deposit can be paid by T/T. We will send proforma invoice with bank details. Production starts after deposit and artwork approval.
Do you offer price breaks for larger quantities?+
Yes, we offer tiered pricing. For example, 5,000–10,000 units may get a 5–10% discount compared to 1,000 units, and above 10,000 units a further discount. Exact discounts depend on the product. We can provide a price list for different quantity tiers upon request.
Are there any hidden costs?+
Our quotation includes production and standard packaging. Additional costs may include: custom moulds (if needed), third-party testing (if required), shipping, and insurance. We clearly list all costs in the proforma invoice. There are no hidden fees; any extra services are quoted separately and approved by you.
What is the sample policy and cost?+
We provide samples free of charge for standard formulas, but you pay the courier cost (typically USD 50–100). For custom formulations, a sample fee of USD 200–500 applies, which is refundable against a production order. Samples ship in 7–10 working days after formula and packaging approval.
Can I pay in a currency other than USD?+
Yes, we accept EUR and RMB as well. The exchange rate will be based on the bank's rate on the invoice date. Please note that bank charges for currency conversion are borne by the buyer. We can quote in EUR or RMB if preferred.
What happens if I need to cancel or change an order?+
Orders can be cancelled or changed before production starts, with deposit refunded minus any costs incurred (e.g., packaging materials ordered). After production starts, cancellation is subject to a fee covering materials and labor. Changes after artwork approval may delay production and incur extra costs.
Formulation and Samples
Can you develop a custom formula for my brand?+
Yes, we have an in-house R&D team that can develop custom formulas based on your requirements. We can also replicate an existing formula if you provide a sample or detailed specification. Development typically takes 5–10 working days for a initial prototype, followed by sample production.
What information do you need to quote a custom formula?+
We need: target dosage form, key ingredients and dosages, target audience, desired claims, packaging type, and target quantity. If you have a reference product, provide a sample or ingredient list. This allows us to assess feasibility and provide a quotation.
How long does it take to receive a sample?+
After formula and packaging approval, samples ship in 7–10 working days. Courier delivery takes 3–5 days to the US or EU. For custom formulas, add 5–10 working days for development. We provide tracking numbers once shipped.
Can I request modifications to the sample?+
Yes, we offer up to two rounds of sample modifications free of charge. Further modifications may incur a fee. We work with you to adjust taste, color, texture, or ingredient levels until the sample meets your specifications.
Do you provide stability testing for new formulas?+
Yes, we conduct accelerated stability testing (e.g., 40°C/75% RH for 3 months) and real-time testing to determine shelf life. This is included in the development cost for custom formulas. We provide a stability report with the sample.
What if I have my own formula?+
We can produce using your formula, provided it is feasible with our equipment and complies with regulations. We will review the formula for compatibility with our processes and may suggest adjustments for manufacturability. You retain ownership of your formula.
Can you match a competitor's product?+
We can develop a product with similar characteristics if you provide a sample. However, we cannot copy a patented formula or protected intellectual property. We will analyze the sample and propose a formula that meets your requirements without infringement.
Quality, Testing and Certifications
What certifications does EUPHM hold for supplement manufacturing?+
EUPHM holds GMP, ISO 9001, ISO 22000, HACCP, NSF/ANSI 455-2 and halal certification, and the Guangzhou facility is FDA-registered for dietary supplements. These cover the manufacturing site and are available for review during supplier qualification. We do not disclose certificate numbers in public materials, but can provide them under NDA.
What testing is performed on raw materials and finished products?+
Raw materials are tested for identity, potency, and contaminants such as heavy metals and microbes. Finished products undergo tests for active ingredient content, disintegration, and microbial safety. We use third-party laboratories for verification. Testing protocols follow USP methods where applicable. Certificates of analysis are provided for each batch. Additional tests can be arranged upon request at extra cost.
How do you ensure consistency between batches?+
We follow standardized manufacturing procedures and maintain batch records for each production run. In-process controls monitor critical parameters like mixing time, temperature, and tablet hardness. Finished product testing confirms that each batch meets specifications. Retention samples are kept for reference. Any deviations are investigated and documented. This approach helps ensure that your product remains consistent from order to order.
Can you provide certificates of analysis (CoA) for each batch?+
Yes, a certificate of analysis is issued for each batch. It lists the tests performed, specifications, and results. The CoA is typically provided with the shipment documents. If you require specific testing beyond our standard panel, we can accommodate that and include the results in the CoA. We recommend reviewing the CoA upon receipt and retaining it for your records.
What is your policy on product recalls?+
In the unlikely event of a recall, we will cooperate fully with your brand. We maintain traceability records for each batch, including raw material lots and distribution. If a recall is necessary, we will provide all relevant documentation and support your communication with authorities. Our recall procedures are documented as part of our GMP compliance. We recommend discussing recall responsibilities in your supply agreement.
Do you allow third-party audits of your facility?+
Yes, we welcome third-party audits by prior arrangement. Brand owners or their designated representatives can schedule an audit to review our facilities, documentation, and quality systems. We require advance notice to prepare and ensure minimal disruption to production. Audit costs are typically borne by the requesting party. We can also share recent audit reports from certification bodies under NDA.
How do you handle allergen control and cross-contamination?+
We have procedures to prevent cross-contamination, including dedicated equipment and thorough cleaning between batches. For products containing major allergens, we follow strict scheduling and line clearance protocols. We can provide allergen statements and cleaning validation records. If your product is allergen-free, we can discuss dedicated production runs. Allergen control is part of our HACCP plan.
Labelling, Packaging and Compliance
What labelling information is required for dietary supplements?+
Labelling requirements vary by market. For the US, FDA requires a Supplement Facts panel, ingredient list, allergen statement, and manufacturer contact. The EU requires nutrition declaration and specific health claim rules. We can provide templates and review your artwork for compliance. However, final responsibility for label accuracy rests with your brand. We recommend legal review for each market.
Can you help with label design and artwork?+
We can provide dielines and templates for your label, but we do not offer graphic design services. You can supply print-ready artwork, and we will check it for technical feasibility and compliance with basic regulatory elements. We recommend working with a designer familiar with supplement labelling in your target market. We will coordinate with your printer or use our approved suppliers.
What packaging options are available?+
We offer a range of packaging: bottles (plastic or glass), blister packs, sachets, stick packs, and gummies in pouches. We can source packaging materials or use yours. Primary packaging must be food-grade and suitable for the product. We can advise on compatibility. Secondary packaging like cartons and shrink wrap is also available. MOQ for custom packaging may be higher.
Do you offer child-resistant packaging?+
Yes, we can supply child-resistant closures for bottles and child-resistant pouches for certain products. These are available upon request and may affect cost and lead time. Child-resistant packaging is required for some products in certain markets, such as products containing iron. We can advise on the appropriate options based on your product and destination.
Can you add security seals or tamper-evident features?+
Yes, we can incorporate tamper-evident seals, such as shrink bands or induction seals, on bottles. For pouches, we can use tamper-evident zippers or seals. These features are added during packaging. We can source the materials and apply them according to your specifications. Additional costs and lead times may apply.
What are the rules for health claims on supplement labels?+
Health claims are regulated differently in each market. In the US, structure/function claims are allowed with a disclaimer. In the EU, only authorized claims from the EU Register are permitted. We can review your proposed claims for compliance with basic rules, but we are not a regulatory authority. We recommend consulting a regulatory expert for each market to ensure compliance.
Do you provide certificates of free sale or other export documents?+
Yes, we can provide a certificate of free sale for your product, which is often required for registration in some countries. We can also assist with other export documents, such as certificates of origin and health certificates, as needed. These documents are prepared upon request and may incur additional fees. Please specify your requirements when placing an order.
Shipping, Customs and After-Sales
Which ports do you ship from?+
We ship from Shenzhen and Hong Kong ports in Guangdong, China. These ports offer extensive international connections. We can arrange sea freight, air freight, or express courier according to your preference. Our logistics team will coordinate with your freight forwarder or recommend one. Shipping terms are typically FOB, but we can discuss other arrangements.
What are the typical shipping times to major markets?+
Shipping times vary by destination and mode. Sea freight to the US West Coast takes about 14-21 days, to Europe 25-35 days. Air freight is faster, typically 5-10 days. Express courier can be 3-7 days. These are estimates and do not include customs clearance. We will provide a estimated delivery schedule with your order confirmation.
Who handles customs clearance and import duties?+
Typically, the buyer is responsible for customs clearance and import duties in the destination country. We can provide the necessary documents, such as commercial invoice, packing list, and certificate of origin. If you prefer, we can arrange door-to-door delivery with a freight forwarder, where duties may be included. Please clarify your preference when requesting a quote.
What is the process for reordering?+
For reorders, we keep your specifications and artwork on file. You can simply confirm the quantity and any changes. We will issue a new proforma invoice and, upon deposit, schedule production. Reorders typically have shorter lead times since formulation and artwork are already approved. We recommend planning ahead to avoid stockouts.
What after-sales support do you provide?+
We provide support for any quality issues after delivery. If you encounter problems, contact us with batch details and we will investigate. We can provide replacement or refund according to the supply agreement. We also offer technical support for product-related questions. Our goal is to ensure your satisfaction and a smooth ongoing partnership.
How do you handle damaged shipments?+
If a shipment arrives damaged, please document the damage with photos and contact us immediately. We will work with the freight forwarder to file a claim. Depending on the cause, we may replace the damaged goods or issue a credit. We recommend inspecting shipments upon arrival and noting any issues on the delivery receipt. Insurance can be arranged for shipments.
Can you store inventory for future orders?+
We do not offer long-term storage as a standard service. However, for ongoing clients, we can discuss buffer stock arrangements. Typically, we produce to order. If you anticipate regular orders, we can schedule production to align with your needs. Please discuss your inventory plans with our sales team to explore options.
